Business Operations Administrator

At Microtechnix, we are shaping the future of pharmaceutical microbiology QC through high-end imaging systems, automation and AI. As a focused and growing scale-up with a global footprint, we believe that strong day-to-day operations are essential to keep everything running smoothly.

We are looking for a Business Operations Administrator who takes ownership of our internal backbone. In this role, you ensure that all recurring finance and HR processes are executed correctly, on time, and without the need for follow-up.

If you enjoy bringing structure, working with numbers, and making sure everything simply runs as it should, this role puts you at the operational core of the company.

Responsibilities

You are responsible for the day-to-day execution and follow-up of finance and HR administration. You work closely with external partners (accountant, payroll provider), and internally you make sure everything runs as it should.

You report directly to the CEO and ensure that all standard processes are handled independently, accurately, and on time.

Finance

  • Process and verify incoming invoices, expenses, and payments
  • Prepare and follow up on outgoing invoices
  • Prepare and execute payments
  • Maintain customer and supplier data
  • Prepare VAT filings and accounting documents (with external accountant)
  • Support monthly and quarterly closing
  • Maintain a clear cash flow overview and monitor incoming and outgoing flows
  • Prepare and update cash flow forecasts based on sales and cost input
  • Ensure financial administration is complete, accurate, and up to date
  • Identify and implement practical improvements in how we work

HR administration

  • Manage employee administration (contracts, payroll input, absences, etc.)
  • Work closely with the social secretariat / payroll provider
  • Handle onboarding administration for new hires
  • Act as the first point of contact for HR-related questions
  • Ensure HR processes are correct and compliant
  • Keeping things running
  • Maintain structure and overview in a small, growing team
  • Leverage tools (including AI) to streamline administrative processes and reduce manual work

Qualifications

  • Around 5–10 years of experience in a similar role combining finance and administration
  • Background in business engineering, economics, or equivalent experience
  • Comfortable working with numbers and financial overviews
  • You work independently and take ownership of your responsibilities
  • Structured, accurate, and reliable in everything you do
  • You naturally follow up—nothing falls through the cracks
  • Pragmatic and hands-on; you focus on getting things done
  • Discreet and trustworthy with sensitive information
  • Familiar with the Belgian context (VAT, payroll, social secretariat)
  • Comfortable using modern tools, including AI, to improve efficiency
  • Fluent in Dutch and English
  • Experience with accounting tools is a plus—experience with Exact Online is a strong advantage, as this is our finance platform.
